Example: an accounting or property management firm

- Staff open every emailed invoice or intake form and retype vendor, amounts, dates and line items into the accounting system or CRM.

- AI reads each attachment the moment it arrives, fills in the record and checks it against the matching purchase order or client file.
- A person
- Anything that doesn't match, or that the AI isn't sure about, is held for review before it's posted.
Inbox triage and drafts
Example: a professional services firm with a shared inbox
- Before
- Someone reads every message in the shared inbox, decides who should handle it and writes the same few replies over and over.
- With AI
- AI sorts each request by topic and urgency, routes it to the right person with the client's history attached, and drafts a reply in your tone.
- A person
- The assigned person edits or approves the draft. Nothing is sent to a client without a person's sign-off.
Meeting notes to CRM
Example: a sales or client-service team
- Before
- After every call someone writes up notes, updates the CRM and remembers to send the follow-up, or doesn't.
- With AI
- AI turns the call notes or transcript into a clean summary on the client record, logs decisions and creates the follow-up tasks and email draft.
- A person
- The account owner reviews the summary and approves the follow-up email.
Answers from your own documents
Example: a growing team with policies and SOPs
- Before
- New hires interrupt senior staff with the same questions, and the answers live in one person's head or a folder nobody can search.
- With AI
- An assistant answers questions from your own policies, procedures and past work, inside Teams or Google Chat, with a link to the source.

- It only uses documents you choose, and it says so when it doesn't know rather than guessing.

Built-in AI first
Many businesses already pay for Copilot, Gemini or Zoho's Zia. If that does the job, we set it up properly and stop there.
Enterprise AI where it falls short
For work the bundled AI can't do well, we build automations that call enterprise AI models, connected to the systems you already use.
New software last
We only add a new tool when nothing you own can do the job, and we list its cost in your proposal.
How we keep AI safe
A glass box, not a black box
Enterprise terms. We build on enterprise AI services whose business terms keep your data out of model training, never on consumer chat apps.
Your account, your keys. AI services are set up in your name, often inside your own Azure, AWS or Google Cloud account, so the data stays under your contract and in the region you choose.
A person approves what matters. Anything that goes to a client, moves money or changes records can require a human sign-off.
Everything is logged. Every AI step is recorded, so you can see what it did and why. Sensitive fields can be masked before anything is sent.
Not tied to one AI company. We can switch between providers such as OpenAI, Anthropic and Google as prices and quality change, without a rebuild.

What owners ask us
Is our data used to train AI models?
No. We use enterprise AI services whose business terms exclude your data from model training. Retention and compliance options vary by provider and plan, and your proposal names the provider and the terms that apply.
Which AI models do you use?
We choose by the job: the AI already in your Microsoft, Google or Zoho subscription where it's good enough, and enterprise models from providers such as OpenAI, Anthropic and Google where it isn't. We design so you can switch providers later.
What does AI cost to run each month?
AI usage is billed by the provider to your account, based on how much you use it. For most small-business workflows that's a few dollars to a few hundred a month, and we estimate it in your proposal.
What if the AI gets something wrong?
We design for it. Uncertain results are flagged for a person, anything important needs approval, and every step is logged so mistakes are easy to spot and fix.
Do we need to buy new software?
Usually not. We start with the tools and AI features you already pay for and only recommend something new when nothing you own can do the job.
